Froomies Limited, trading as Tredethick Farm Cottages (“Tredethick Farm Cottages”, “we”, “us” or “our”), is committed to protecting your privacy and handling your personal information fairly and transparently. This policy explains what personal information we collect, how and why we use it, who we share it with, how long we keep it and the rights available to you.
Froomies Limited is the controller of the personal information described in this policy. We are registered in England and Wales under company number 16801574. Our registered office is Tredethick, Lostwithiel, Cornwall, PL22 0LE. We are registered with the Information Commissioner’s Office (“ICO”) under registration number ZC116208. This policy is provided in accordance with the UK General Data Protection Regulation (“UK GDPR”) and the Data Protection Act 2018, as amended.
Tredethick Limited owns the Property and surrounding land and leases them to Froomies Limited, which operates the accommodation, accepts and fulfils bookings and receives customer payments. Tredethick Limited previously collected personal information in connection with the operation and marketing of Tredethick Farm Cottages. As part of the transfer of the accommodation business to Froomies Limited, relevant historic customer, enquiry and marketing records were transferred to us to support continuity of the same Tredethick Farm Cottages service. Tredethick Limited was the controller responsible for its own processing before the transfer; Froomies Limited is the controller responsible for the transferred information once received.
This policy applies when you visit tredethick.com, contact us, ask about a stay, make or manage a booking, receive marketing from us, or otherwise interact with us.
Personal information we collect
Depending on how you interact with us, we may collect:
- Identity and contact information, such as your name, postal address, email address and telephone number.
- Booking and stay information, such as arrival and departure dates, accommodation selected, the number and ages of guests, booking preferences, requests and correspondence about your stay.
- Payment and transaction information, such as the amount paid, payment status, refunds and billing information. Where payment is made through a payment provider, that provider processes the card or bank details needed to complete the transaction; we generally receive confirmation and limited transaction details rather than complete payment-card information.
- Communications, including enquiries, feedback, complaints and other correspondence with us.
- Marketing preferences, including whether you have asked to receive or stop receiving marketing.
- Historic relationship and permission information, such as whether and when you booked, enquired, subscribed, opened or interacted with previous communications, the source of your details and any available record of the wording or choices presented when they were collected.
- Technical and usage information, such as your IP address, device and browser information, approximate location, referring pages, pages viewed, interactions, timestamps and cookie or similar-technology identifiers.
- Security information generated when tools such as Google reCAPTCHA assess whether a form submission is genuine or automated.
- Information about other guests supplied by the person making a booking, where this is needed to arrange and provide the stay.
You may choose to tell us about accessibility, dietary or health-related requirements. Some of this may be special category data under data protection law. We ask you to provide only what we need to respond to the request. Where required, we process this information with your explicit consent, which you may withdraw at any time, unless another legal condition applies.
How we collect personal information
We collect information directly from you when you contact us, complete a form, subscribe to marketing, or make or manage a booking. We may also receive information from the lead guest or another person arranging a stay, from a Third-Party Booking Platform through which you make or manage a booking, from our booking and payment service providers, and automatically through cookies and similar technologies when you use our website.
We also received historic customer, enquiry, marketing-preference and suppression records from Tredethick Limited when responsibility for operating Tredethick Farm Cottages transferred to Froomies Limited. These records relate to people who previously booked, enquired about or asked to receive information concerning holidays at Tredethick Farm Cottages.
If you give us information about another person, please ensure that you are entitled to do so and make this policy available to them.
How we use personal information and our lawful bases
We use personal information for the following purposes:
- Responding to enquiries and taking steps towards a booking: necessary to take steps at your request before entering into a contract, and for our legitimate interest in responding to potential guests.
- Creating, managing and fulfilling bookings: necessary to perform our contract with you.
- Taking payments, issuing refunds and maintaining financial records: necessary to perform our contract and comply with our legal obligations.
- Providing customer service and administering your stay: necessary to perform our contract and for our legitimate interest in providing an effective service.
- Operating, maintaining and securing our website and forms: necessary for our legitimate interests in keeping our services secure, preventing misuse and resolving technical problems.
- Understanding and improving website use: based on your consent where analytics cookies or similar technologies require consent.
- Measuring advertising and attributing enquiries or bookings to adverts: based on your consent where advertising cookies, tags or similar technologies are used.
- Sending marketing: based on your consent or, where permitted by law, our legitimate interests and the electronic-marketing rules for existing customers. You can unsubscribe at any time.
- Managing transferred historic records: based on our legitimate interests in ensuring continuity of the Tredethick Farm Cottages business, understanding previous customer relationships, maintaining accurate records of marketing permissions and preserving suppression records so that previous opt-outs continue to be respected.
- Handling complaints, protecting our rights and dealing with legal claims: necessary for our legitimate interests and, where applicable, compliance with legal obligations.
Where we rely on legitimate interests, those interests include operating and improving our accommodation business, maintaining continuity of the Tredethick Farm Cottages service following the change of operator, communicating with guests, protecting our website and services, respecting previous marketing choices, and establishing or defending legal rights. We consider whether those interests are proportionate and whether your rights and interests override them. A legitimate interest in holding or administering a record does not override any consent or other permission required by the electronic-marketing rules.
If you do not provide personal information
You do not have to provide personal information simply to browse our website. However, where information is needed to answer an enquiry, enter into or perform a booking contract, take payment, or meet a legal requirement, we may be unable to provide the relevant service without it.

We share personal information only where needed for the purposes described in this policy. Recipients may include:

- Supabase, which provides the service used by the availability widget to retrieve availability information.
- Lodgify, which provides the hosted reservation and booking service reached when you continue with a booking.
- Third-Party Booking Platforms through which you make or manage a booking. These platforms normally act as separate controllers for their own use of personal information, and their privacy policies also apply.
- Payment providers that process payments and refunds connected with a booking.
- Google, where Google Analytics, Google Ads and Google reCAPTCHA are used as described in this policy and our Cookie Policy.
- Website hosting, information technology, communications and email service providers that help us operate our business.
- Accountants, insurers, legal advisers and other professional advisers.
- Tredethick Limited, as owner of the Property and surrounding land, but only where sharing is reasonably necessary for property management, safety, insurance, the establishment or defence of legal claims, or compliance with a legal obligation. Where Tredethick Limited determines its own purposes and means of processing, it acts as a separate controller.
- Government bodies, regulators, law-enforcement agencies, courts or other parties where disclosure is required by law or is necessary to protect legal rights.
Service providers acting on our behalf may use personal information only for the agreed services and must protect it appropriately. Some providers may also act as independent controllers for particular activities; their own privacy information explains those activities.
International transfers
Some service providers may process personal information outside the United Kingdom. Where this results in a restricted international transfer, we use a lawful transfer mechanism, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another safeguard permitted by data protection law.

How long we keep personal information
We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, including providing your stay, answering enquiries, maintaining records, resolving disputes and meeting legal, tax, accounting and reporting requirements.
- Accounting records connected with bookings and payments are normally retained for six years from the end of the company financial year to which they relate, or longer where the law requires.
- Booking records and related correspondence are retained for as long as needed to administer the booking and for applicable accounting, complaint and legal-claims periods.
- Uncompleted enquiries are retained only while they remain relevant for responding and reasonable follow-up.
- Marketing information, including relevant records received from Tredethick Limited, is retained until you unsubscribe, withdraw consent or we determine after periodic review that it is no longer current, relevant or supported by an appropriate permission. We consider the age and source of the information, the original wording used, our relationship with you and your subsequent engagement. We may retain a minimal suppression record so that we continue to respect an opt-out.
- Optional accessibility, dietary or health-related information is deleted when it is no longer needed for the stay or a related legal matter.

When deciding a retention period, we consider the nature and sensitivity of the information, the reason it is held, the risk of harm from unauthorised use or disclosure, and applicable legal requirements.
Marketing
We may send you information about our accommodation and related services where you have consented or where the law allows us to contact an existing customer about our own similar services. When the existing-customer exception applies, we provide an opportunity to opt out when details are collected and in every marketing message.
Historic Tredethick Farm Cottages mailing list: Tredethick Limited previously maintained a mailing list for people who booked, enquired about or subscribed to information concerning holidays at Tredethick Farm Cottages. Froomies Limited now operates the same accommodation under the same Tredethick Farm Cottages trading name and has received relevant mailing-list and preference records as part of that operational transfer.
Before using a historic record for email marketing, we consider the source and age of the information, the wording and choices presented when it was collected, the person’s previous relationship with Tredethick Farm Cottages, any available evidence of consent or other permission, subsequent engagement and any objection or opt-out. We send marketing from the historic list only where we reasonably consider that the relevant data-protection and electronic-marketing requirements permit it. Where consent is required, we rely only on a permission that we reasonably consider covers email marketing from the continuing Tredethick Farm Cottages service. Inclusion on the historic list by itself is not treated as consent.
Marketing sent following the change of operator identifies Froomies Limited, trading as Tredethick Farm Cottages, and provides a straightforward way to unsubscribe. We carry forward previous unsubscribe and objection records wherever available. We do not sell the historic mailing list or allow another organisation to use it for its unrelated marketing.
You may unsubscribe using the link in a marketing email or by contacting us. Withdrawing consent or opting out does not affect processing that took place beforehand. We may retain your email address on a suppression list so that we do not contact you again for marketing.
Profiling and automated decisions
Analytics and advertising services may use identifiers and information about website activity to measure advertising or place visitors into broad audiences where the relevant consent has been given. We do not use personal information to make decisions based solely on automated processing that produce legal or similarly significant effects on you.
Children’s information
Our website and booking service are intended for adults. A person making a booking may provide limited information about children in their party, such as their ages or requirements, where needed to arrange the accommodation. We use that information only for the booking and stay and do not knowingly use children’s information for marketing.
How we protect personal information
We use appropriate organisational and technical measures designed to protect personal information against accidental or unlawful loss, alteration, access, disclosure or use. No internet transmission or storage system can be guaranteed to be completely secure.
Your data-protection rights
Depending on the circumstances and the lawful basis used, you may have the right to:

- ask us to correct inaccurate or incomplete information;
- ask us to erase your information;
- ask us to restrict how we use your information;
- receive certain information in a portable format or ask us to transfer it to another organisation;

Your right to object: You have an absolute right to object to the use of your personal information for direct marketing. You may also object to processing based on legitimate interests. We will stop that processing unless we demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or the processing is needed for legal claims.
These rights are subject to conditions and exemptions under data protection law. We may need to confirm your identity before acting on a request. You will not normally have to pay a fee, although the law permits a reasonable fee or refusal in limited circumstances.

Our website may contain links to websites operated by other organisations. Their privacy policies apply when you use those websites, and we are not responsible for their content or privacy practices.
Changes to this policy
We review this policy at least once every 12 months and whenever our services, suppliers, website technology or use of personal information changes. We will update the “Last updated” date when we publish changes. If a change materially affects how we use information already collected, we will provide additional notice where appropriate.
